The Assistant Facilities Manager plays a vital role in ensuring the smooth operation, maintenance, and safety of IDEMIA Public Security’s facilities across the United States. This position coordinates maintenance, repair tasks, and manages vendor relationships to ensure quality service and cost efficiency. By working closely with the Facilities team, the Assistant Facilities Manager helps create a well-maintained, secure, and efficient environment that enhances workplace productivity and operational effectiveness.

In this role you will: 

• Assist in managing facility operations, including maintenance and repairs.
• Coordinate with vendors and contractors for service and maintenance needs.
• Ensure adherence to health, safety, and environmental standards.
• Support budget planning and cost management for facility operations.
• Track key performance indicators (KPIs) to enhance facility efficiency.
• Contribute to space utilization and workplace improvement projects.
• Provide support and supervision to maintenance staff as needed.
• Ensure the seamless execution of daily operations across the assigned facility or campus. This includes oversight of janitorial services, life-safety systems, engineering functions, site services, and general maintenance.
• Supervise all maintenance initiatives impacting the functionality of the property portfolio.
• Respond with urgency and precision to service requests from building occupants. This includes maintenance, repairs, and cleaning, as well as the implementation of contractual programs designed to resolve recurring issues.
• Compile and maintain comprehensive documentation and reporting, ensuring accuracy and timeliness.
• Support budget planning based on facility needs and repair activities, including the support of the development of capital budgets.

Key Relationships

• External relationships: this role will interact with Idemia vendors as well as Idemia landlords.
• Internal relationships: this role will interact with the Facility and Real Estate staff, and other Idemia co-workers including leadership.

Required Education

• Associate’s degree in Facilities Management, Building Operations, Business, or a related discipline is required.
• Bachelor’s degree is preferred.

Relevant Experience

• Minimum of 3–5 years of experience in commercial or industrial real estate, with a focus on facility management.
• Strong organizational, communication, and problem-solving abilities.
• Experience working with vendors, contractors, and ensuring regulatory compliance.
• Demonstrated expertise in maintenance, construction, engineering, and comprehensive property operations.
• Experience with CMMS/Work Order Management systems is preferred.

 Additional Qualifications

• Proficiency in contract language and management agreements.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
